BUSINESS AUDIT – DATA INVENTORY

Working with Fusion.je we have developed a Data Inventory tool that records all the information that the Data Protection Law requires in a simple to use SharePoint.

This approach allows easy user input with pre-configured pull-down lists and easy to update fields and at the same time offers an across-the-business dashboard of Data Protection status: What Data Protection Impact Assessments (DPIAs) are complete; What Data Sharing Agreements (DSAs) are in-place; What information security is being applied; When was the last review.

Using your existing SharePoint (on premises or in the cloud) means there are no additional expensive licence fees and full integration with Microsoft Power-BI, Excel, Word or any form of automation and workflow. This means that the tool can auto-update you Privacy Notice and also provide reminders when contracts or Data Sharing Agreements are due for renewal.

The other key advantage is that by knowing what data is in what system(s) as well as what DPIA and DSAs exist is that it is easy to respond quickly and competently should there be a data breach.

BUSINESS AUDIT – SUBJECT ACCESS

Also working with Fusion.je we have developed a Data Subject Access Request (D-SAR) tool that records all D-SARs.

The benefit of the D-SAR tool is that you can log all the correspondence relating to the Data Subject Access Request meaning you have evidence of what they want, proof of identity, start-date and end-date and details of disclosure so as to ensure following the exact legal process within the 28 day period proscribed by law.

Using a range of pre-configured templates (as many as you require) the D-SAR tool will guide you through the process and choices including what can and cannot be disclosed, what is exempt and what needs redaction as well as evidence and audit of completion of the process.

This can be linked to the above mentioned Data Inventory tool which records processes for colleagues, customers, clients, suppliers or public (and as many other types as you choose). This enable you to quickly provide all the information that is held depending on the role / context of the data-subject.

If they are a colleague the data held includes [list of data relevant] etc.
If they are a customer the data held includes [list of data relevant] etc.
If they are a supplier the data held includes [list of data relevant] etc.
