TEAM BUILDING AND PROBLEM SOLVING WORKSHOP

This workshop is designed as a team-building, problem-solving, and process improvement initiative. It aims to empower participants, build essential skills, foster ownership, and enhance accountability. The process yields measurable benefits in terms of both outputs and outcomes.

Step 1: Define the Problem with Leadership

Collaborate with leadership to identify the specific problem that needs to be addressed. Agree on the parameters and boundaries for the proposed solution.

Example Parameters:
The solution/proposal must not exceed a budget of £10k.
The solution/proposal must be implemented within 12 weeks.
The solution/proposal must utilize internal or pre-approved resources only.
The solution/proposal must benefit the organisation by £25k (time or cost saving or increased revenue)
The team is responsible for the project delivery.

Step 2: Invite and Inform Participants

Send invitations to selected individuals, explaining the workshop’s aim, purpose, objectives, outcomes, and their roles.

Example Invitation:
You are invited, along with [names], to participate in a workshop on [topic]. The goal is to analyze, fix, improve, or develop a solution/proposal/process within the agreed parameters. This is a 1.5-day workshop structured as follows:

Agenda Day 1: Morning
Introductions
Discussion of the problem/symptoms
Review of the scope, parameters, and boundaries (mandate/scope)
Presentation on simple problem-solving tools
Agreement on a problem statement
Identification of required resources to address the problem

Agenda Day 1: Afternoon
Data gathering through phone calls, emails, internet research, and peer consultations
Identification of issues, options, and possibilities
Assessment of the complexity and value of each option (calculation of time or cost saving or increased revenue)
Formation of a project delivery plan (including roles, goals, tasks, dates, and resources)
Preparation of a presentation for leadership approval

Agenda Day 2: Early Morning
Compilation of documents, facts, slides, and flipcharts
Rehearsal of the presentation for leadership approval

Agenda Day 2: Afternoon
Presentation to leadership for approval
Leadership decision: approval (with potential feedback) or rejection (with reasons provided)

Step 3: Conduct the Workshop

Execute the workshop as outlined above. The duration may vary based on the problem’s complexity, the number of participants, and the need for training in problem-solving tools and project planning basics.

At the conclusion of the workshop, the team will compile all gathered information into a comprehensive proposal to present to the leadership for approval. Each presentation will be approximately 15 minutes and will include the following sections:

1. What is happening now.. Describe the current process .

2. This is bad because.. Describe the current problems, issues and matters which merit improvement .

3. Our solution is.. Describe the proposed solutions, their features and benefits .

4. Costs.. Describe the costs of the solutions, include ‘real’ costs of buying items and ‘notional’ costs of people’s time.

5. Benefits.. Including time savings, spend savings and avoided costs

6. Action Plan.. Simple table of who does what, when.

7. We are asking you to say yes to.. Clear list of what the Decision Panel is being asked to say “YES” to; be clear of the task, people, costs, time and outcomes, which the Decision Panel are being asked to agree and support.

The decision panel meeting will be limited to one hour and include the Directors. Given the time constraints, there may be limited opportunity for Q&A. Therefore, we will urge the decision panel to make a YES or NO decision during the meeting.

Step 4: Implement the Project

Begin the project delivery according to the plan developed during the workshop. Ensure adherence to the agreed roles, goals, tasks, dates, outputs, and outcomes.

Step 5: Review and Iterate

Upon project completion, review the outcomes and gather lessons learned. Use this feedback to refine the Work-out process for future problems, proposals, or processes to be addressed within the next 12 weeks.
